# Working with assets

What a visitor can do with an asset once they open it.

Selecting an asset opens it in the view that suits its type — see [Gallery](/portals/viewing-a-portal/sections/gallery.md) for which is which. For images and most files that is the asset details view, described here. It works the same in a **gallery** and in a **share link**.

## The asset details view

The asset fills the left; its information sits on the right. The arrows either side move to the previous or next asset without closing the view, so a visitor can work through a set.

| Shown                                                       |                                                     |
| ----------------------------------------------------------- | --------------------------------------------------- |
| **File size** · **Resolution** · **Created** · **Modified** | The basics, as pills under the name. |
| **Description**                                             | The asset's description, in the visitor's language. |
| **Tags**                                                    | The asset's tags.                                   |
| **Variations** | Every rendition of the asset the DAM holds. |
| **Metadata**                                                | The asset's metadata fields, grouped.               |

If an asset has no metadata the panel says so rather than showing an empty tab.

## Tags as a way to browse

When you have turned on **Allow searching by tags** in [View options](/portals/building-a-portal/sections/gallery/gallery-settings/view-options.md), the tags here become clickable: selecting one filters the gallery to assets carrying it.

It is the fastest route through a large, well-tagged library — a visitor who finds one right asset can get to the rest without constructing a search.

## Variations

Most assets exist in several renditions — sizes, crops and formats prepared in the DAM. The **Variations** tab lists them, and the selector at the top of the view switches which one is shown.

This is what stops visitors downloading a 40MB master when they needed a web-sized JPEG.

## Downloading

The **Download** button offers the current variation, the original, or both together, with the file count for each. Visitors can also download every variation at once.

Downloading is only offered when you have allowed it in [View options](/portals/building-a-portal/sections/gallery/gallery-settings/view-options.md).

## Embed

**Embed** gives a CDN link to the asset rather than a copy of it, with controls for **Format**, **Quality**, **Preset**, **Width** and **Height**. **Copy CDN link** puts it on the clipboard.

Use it for audiences who put your assets on their own pages: the link serves the right size and format automatically, and it keeps pointing at the asset in your DAM rather than a copy that will drift out of date.

## Linking to one asset

Opening an asset changes the address in the browser, so the address bar always points at the asset on screen rather than at the gallery behind it. Copy it, send it to a colleague, or bookmark it, and it opens the Portal with that asset already open — on the same tab, **Variations** or **Metadata**, that was showing when it was copied.

Because the asset is part of the address, the browser's **Back** closes it and returns to the gallery, and **Forward** opens it again. A visitor working through a set can back out one step instead of leaving the Portal.

{% hint style="info" %}
This is a link *into* your Portal, not a way around it. Whoever opens it still has to get in — sign in if the Portal is private, and be allowed to see the page the gallery sits on. To send an asset to someone who cannot open the Portal at all, use a [share link](/portals/viewing-a-portal/share-links.md) instead.
{% endhint %}

A link that no longer finds its asset says so rather than dropping the visitor on the gallery without explanation. If nothing comes back for it — it was deleted in the DAM, or is no longer among the assets this gallery serves — they see **This asset is no longer available.** If the lookup itself fails, they see **Could not load this asset.**

## Regional settings

Where assets have language variants, the **Regional settings** control picks which the visitor sees — the asset itself, and its description, metadata and tags.
